Job Description

The Inventory Systems Manager will be responsible for disposition of all company inventory; maintaining accurate records and data integrity, deployment of assets, as well as timely review and approval of costs associated with product manufacturing. This person will work collaboratively with the Fulfillment and Quality teams to ensure that materials and finished goods are available as designated by company supply plans and to company quality standards. The ideal candidate has strong time management skills and a high level of organization, is highly capable of working well both independently and in a team environment, possesses the ability to problem solve with a high degree of focus on continuous improvement, and is an effective communicator. The Inventory Systems Manager will be required to have intimate familiarity with inventory process, robust experience operating inventory systems, and expertise with inventory management software.

Key Job Responsibilities

  • Organize transportation activities of materials and finished goods and arrange for transportation services as necessary.
    • Ensure materials and finished goods arrive accurately and on time, through every step of the supply chain.
    • Review freight invoices and other transportation costs to keep working costs low and approve associated expenses.
    • Coordinate and track movement of finished goods and materials through logistic pathways to ensure they arrive on time and in full.
    • Maintain quality standards throughout the logistics process.
    • Furnish company documentation to customers and vendors as requested or required.
  • Oversee warehouse operations and manage 3PL operations.
    • Coordinate inbound/outbound shipments and monitor for exceptions and discrepancies.
    • Effectively detail order processes to company requirements and implement to standard for 3PL execution.
    • Monitor and replenish custom configurations via kitting or special-order management with fulfillment partners.
    • Reconcile inventories with rigorous attention to detail, by order, by week, by month to ensure reporting accuracy.
    • Review and approve expenses associated with all 3PL partners.
  • Manage disposition of inventory across all locations.
    • Review and approve manufacturer invoices, communicate variances to key stakeholders, and resolve issues in a timely manner.
    • Maintain internal records of all materials and finished goods.
    • Oversee monthly inventory reconciliation in coordination with Finance Team.
    • Coordinate with Quality Assurance on non-conformance inventory and quality holds to accurately track disposition and conform to quality protocols.
    • Monitor and inform on inventory demand against forecasts and budgets.
    • Manage par levels to ensure OTIF service levels can be supported to target.
  • Lead vendor management cross-functionally with key stakeholders in Fulfillment, Supply Chain and Quality functions.
    • Participate in site visits of manufacturing partners to foster and strengthen vendor relationships.
    • Participate in site visits of warehouse partners; oversee inventory and compliance audits in coordination with Finance.
    • Lead routine meetings with partners to track projects and facilitate improvements.
  • System Management
    • Record transactions in inventory management system.
    • Maintain company databases and update specifications as needed for materials and their respective costs and BOMs.
    • Determine root causes for discrepancies and communicate deviations to stakeholders and suppliers.
  • Actively participate in continuous improvement activities to strengthen company objectives.
    • Communicate critical needs and thresholds to Operations leadership team and anticipate needs before they arise.
    • Monitor and report on important deviations related to sales forecasts, budgets, and business strategies.
    • Propose and implement solutions to improve operational performance and contribute overall to the improvement of internal processes and procedures to evolve with our business needs.

Job Requirements

  • Minimum of 5 years of experience within Warehousing and/or Operations function preferably at a CPG company.
  • Minimum of 5 years of experience managing ERP or inventory systems.
  • Expert understanding of inventory management practices and procedures.
  • Experience with demand planning.
  • Analytical and detail-oriented mindset required.
  • Familiarity with EDI integrations preferred.
  • BA/BS in supply chain or business preferred.

Compensation

  • $85k-$105k annual starting base, commensurate with experience, plus bonus potential.
  • Medical, Dental, Vision, FSA and 401(k) packages available.

Working Conditions

• This is a remote role, preferably located in the New York Metro area.
• Up to 15% domestic travel may be anticipated.
• This role reports to the Director of Supply Chain.
